The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. Executive Assistant Job Duties:
Provide Corporate Sales team with first class administrative support:
- Organize and input data from sales team activities into various operational platforms
- Work with Corporate Sales and Operations Teams to coordinate scheduling information for deliveries
- Follow up with clients to confirm event details and ensure timely payment of invoices
Serve as the point person for office manager duties including maintenance, mailing, shopping, supplies, equipment, bills, and errands
Organize and schedule meetings and appointments
Partner with HR to maintain office policies as necessary
Organize office operations and procedures
Coordinate with IT department on all office equipment
Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
Provide general support to visitors
Ensure customer support both online and on the phone
Executive Assistant Skills and Qualifications:
Good knowledge of the beer industry is a plus
Bachelor’s degree preferred but not required
Working knowledge of MS Office (Word, Excel)
Great personal, verbal and written communication skills
Strong organizational, interpersonal and problem solving skills, with meticulous attention to detail
Ability to multi-task and coordinate ongoing projects, and plans
Positive attitude, hard work ethic, fun to be around
Working knowledge of Bay Area geography
